  • Technical metadata from video and audio recordings
  • Creative preferences and project specifications
  • Payment and invoicing details

If you don't provide us with personal information we are unlikely able to provide you with our services.

Video Production and Creative Content

As a video production company, we collect and process additional types of data including:

Visual and Audio Content:

  • Video footage of individuals (clients, talent, crew)
  • Audio recordings including voice, music, and ambient sound
  • Photographs and still images
  • Performance and creative direction data

Technical Production Data:

  • Camera settings, lighting configurations, and technical metadata
  • Location data and shooting schedules
  • Equipment usage logs and technical specifications

AI-Assisted Asset Generation

We utilise artificial intelligence tools to enhance our video production services, including Claude, ChatGPT, Midjourney, Google Gemini, and Veo. In using these services:

Data Processing for AI:We may process your visual content, audio recordings, project briefs, and creative materials through AI platforms to:

  • Generate creative concepts and storyboards
  • Enhance video and audio quality
  • Create supplementary visual assets
  • Automate editing and post-production tasks
  • Generate scripts, captions, and creative copy

AI Service Providers:When using AI tools, your data may be processed by third-party AI service providers. We ensure these providers maintain appropriate data protection standards, though you should be aware that:

  • AI processing may occur on servers located outside Australia
  • Some AI providers may use aggregated, anonymised data to improve their services
  • We do not permit AI providers to use your specific content for training purposes without explicit consent

Client Consent for AI Processing:By engaging our services, you consent to the processing of your content through AI tools for the purposes of delivering your video production project. You may opt out of AI processing, though this may limit the services we can provide.

How We Collect and Hold Personal Information

We may collect personal information in the course of providing our video production services, from our website, via our clients who pass on your information, through video and audio recording during production, or directly from you.

Personal information is held securely, is subject to various security protections and is held only for as long as the information remains relevant to the purpose for which it was collected.

We take reasonable steps to ensure the security and integrity of the personal information we collect, store, use and disclose including:

  • Restricted server access and encrypted file storage
  • Secure cloud storage with industry-standard encryption
  • Complex password protection and multi-factor authentication
  • Secure transfer protocols for large video files
  • Regular security audits and updates

Data Retention for Video Production:

  • Raw footage and project files are typically retained for 12 months after project completion
  • Final delivered content may be retained longer for archival and reference purposes
  • Client personal information is retained in accordance with business record requirements
  • AI processing logs are retained only as long as necessary for service delivery

Purposes for Which We Hold, Use and Disclose Information

We will not use or disclose personal information for any secondary purpose, unless that secondary purpose is related to the primary purpose for which we have collected that information, and you would reasonably expect the disclosure in the circumstances, or unless you consent to that use or disclosure.

For the purposes of the General Data Protection Regulation (GDPR) we are a data processor.

The purposes for which we hold, use and disclose and process information include:

(a) conducting our business which includes video production, post-production, and creative services;(b) coordinating video shoots, managing talent, and scheduling production activities;(c) processing video and audio content through AI tools to deliver enhanced creative services;(d) creating promotional materials and portfolio content (with explicit consent);(e) communicating information about our services or third party services that may be of interest to you;(f) for our internal administrative, research, planning, marketing and service development; and(g) complying with legal and regulatory requirements related to content creation and distribution.

Use of Creative Content

Portfolio and Marketing Use:We may seek permission to use excerpts from your video content for our portfolio, marketing materials, or social media presence. This will always require your explicit written consent and will be limited to the specific uses agreed upon.

Third-Party Distribution:We will not distribute your content to third parties without your explicit consent, except as required for technical service delivery (such as cloud rendering services) or legal compliance.

Access and Correction

We will take all reasonable steps to ensure any personal data we collect, use or disclose is up to date and accurate. If you believe personal information we hold about you is not up to date or accurate, you may ask us to correct it.

You may ask us to provide you with details of the personal information we hold about you, and copies of that information. We will respond to your request and attempt to provide you with the data within 30 days of receipt of your request.

If we provide you with copies of the information you have requested, we may charge you a reasonable fee to cover the administrative costs of providing you with that information.

Some Other Rights in Relation to Your Privacy

Some individuals also have a right, in certain circumstances, to have the information held about them erased. You can talk to us further about this at contact@allthingsallcreatures.com.au.

You can also request that we restrict or suspend the processing of your personal information. If you do so, just note that we will then be most likely unable to provide the services to you.

The GDPR also provides that in some circumstances individuals have a right to data portability, to withdraw their consent at any time, to object to data processing and to object to processing of data for marketing purposes.

Right to Withdraw Consent for AI Processing:You may withdraw your consent for AI processing of your content at any time. However, this may affect our ability to deliver certain enhanced services or may require alternative production methods that could impact project timelines and costs.

Overseas Disclosure

Relevant to the GDPR, in order to provide our services to you, at your request we will disclose the information which we process to countries outside the EEA. However, that is typically only the case where the information has been collected in a country outside the EEA.

In relation to our Australian operations:

We may, in the course of providing video production services, disclose personal information to overseas entities including by utilising overseas data servers and AI processing services.

Those overseas entities are likely to be located in the following countries: USA, New Zealand, and other countries where our AI service providers operate their data centres.

AI Service Locations:Our AI processing partners may operate servers in various international locations including the USA, Europe, and Asia-Pacific regions. We ensure all international data transfers comply with applicable privacy laws and include appropriate safeguards.

Changes to This Policy

We will review and update this Privacy Policy from time to time as needed without notice. Therefore, you should review the terms of this policy periodically to make sure that you are aware of how we collect, hold, store and use personal information.

Complaints

If you consider a breach of the Privacy Act 1988 (Cth) has occurred, you may direct your query to our Privacy Officer and we will attempt to resolve your complaint.

If you do not consider our response satisfactory, you may contact the Australian Privacy Commissioner at its website www.oaic.gov.au or by telephone on 1300 363 992 or you can contact another appropriate supervisory authority. For EU individuals, you can contact the European Data Protection Supervisor.
